CHALLENGE:
A leading Information Technology client needed support executing a 21-hour virtual event with 10 weeks lead time. This is a lead generating event which historically takes place annually at Dreamforce in San Francisco, California—due to Covid-19 it needed to be held virtually.
SOLUTION:
In just 10 weeks, MGME successfully curated and managed a 21-hour virtual event focused on exploring new business strategies for the client. The MGME team customized a 3D virtual platform to engage 2,300 attendees across the world with A-list keynote speakers and entertainment, various activations, roundtable discussions and more.
Customized 3D Platform
The customized 3D virtual platform, curated by MGME, included a Main Stage, Giving Gallery and a Members Only Club with a private invitation and password. A Solutions Gallery showcased all of the client products, educational product demos and a text chat board for attendees to ask questions and interact. The Industry Showcase feature displayed outbound links to showcase our client’s work in various industry verticals. The Connect feature was utilized for Sales team meetings with potential clients. All prospects were sent to an assigned breakout room for meetings. Chat features within the platform included a general text chat board as well as 1-1 chat.
Creative & Production Management
MGME managed full production of the event. Our team supported a Main Stage with 23 hours of live streamed content, “following the sun” around the globe. Content was timed for each region consisting of internal panel discussions of local leadership in their language(s) with interstitials filmed by home office employees highlighting each of their cities.
Our production team also secured and coordinated highly sought-after keynote speakers such as Gary Vaynerchuk and Arlan Hamilton as well as the LA All Stars and DJ Sadie for entertainment. MGME’s production team curated a pre-recorded 2-hour long looping video, displayed in the virtual bar. Due to the international nature of the event, all videos were translated in Japanese, Portuguese and English. The “Bar Menu” boasted the list of activations available to attendees including yoga, meditation, a mixology class, a DJ, and a wine sommelier.
Virtual Lantern Release
Throughout the day, attendees had opportunities to accrue points by engaging in meetings, networking, and attending presentations. As they reached a certain level, they triggered a donation (made by the client) to a designated charity. Each attendee had the choice of which charity our client would donate to. These donations were indicated by a virtual lantern release during the Club hours. The lantern release was a celebratory moment at the end of the event. This gave our client the perfect platform to thank everyone for attending while calling attention to the charitable organizations.
Project Management & Tech Support
For this event, the tech help support was a chat function. MGME plugged the third-party program, Zendesk. We had four agents ready to assist with any questions the participants had. Questions ranged from technical issues which we helped troubleshoot to navigation and scheduling inquiries. This function is similar to most "ask an agent" feature on webpages.
Results
MGME understood the client’s goals and challenges and produced an immersive virtual journey to engage and entertain attendees across the world. Our client was blown away upon final execution of the event.
